Sometimes you want to bring someone on board without giving them full access to everything in your organization. With that in mind we offer two different types of guest users in Flow: project guests and team guests. It’s important to note that for the time being, guests do require a paid seat.
Team Guest
Team guests will only have access to the teams that you invite them to. Projects are contained within teams, so by inviting someone to a team you’re giving them access to each of the public projects within, and subsequently all of the tasks within those projects.
To invite a team guest you’ll want to go to the Teams page, which you can access by opening the dropdown in the top left and selecting ‘People and Teams’. Make sure you’re on the Teams tab, then scroll down the page until you find the team you’d like your guest added to.
Hover over the title of the team to reveal a ‘…’ beside it. Click that, and in the dropdown that opens select ‘invite members’. If they already exist in your Flow organization as a guest of another team or project, you’ll be able to select their name from a dropdown when inviting them. If not, enter their email address to send off an invitation.
With per user pricing, when you send invitations it will charge you the prorated amount automatically for their addition to your subscription. At the time of your next renewal you’ll be charged for all users that are part of your organization at that time.
Project Guest
If you’re working with a freelancer or contractor, you might not want them to have access to full teams in your organization. When that’s the case, you’ll want to use the project guest feature instead! Project guests only have access to the specific projects that you invite them to, and won’t be able to view other teams or information outside of that project.
To invite a project guest, head to the project you’d like to invite them too. Click the “…” in the top right, and select ‘edit share options’. This will trigger another dropdown where you’ll be able to invite guests. Enter their name if they’re already a guest within your organization elsewhere, or their email address if they’re a completely new addition. If they’ve already been invited, they won’t receive an email to sign up again, instead they’ll get instant access to the project. If they’re completely new they’ll be sent an invitation email to sign up for Flow before they can access the project in question.
