Glossary of Terms
New to Flow, or just need a little refresher? This glossary will cover the Flow-cabulary you need to know.
Organization
When invited to Flow, you're invited to join an organization. This is the foundation that you build onto with Teams, groups, and more.
Team
Teams are basically big folders that hold all of your projects. Typically, they’re used to separate projects by department, team location, or client.
Group
A group in Flow is like an optional subfolder. You can create these in Teams to further organize your projects. You might have groups for project leads, departments, or clients. If you had a Dallas Team, for example, you might use Marketing, Support, and Administration groups to separate projects.
Project
Projects are how you’ll organize your teams work. Add the project brief to your project notes, created sections and tasks, and invite members. Projects separate work into chunks that can be given a timeline.
Section
A section is like a customizable binder tab, used to separate different categories of work within a project.
Task
Tasks are the actionable assignments that we all work on. Use these to break down your projects into smaller, manageable pieces.
Subtask
These are just like tasks but are housed under a task and can be assigned to different people and given their own unique due dates.
Subscriber
A subscriber is anyone on your team that subscribes to a task. Subscribing to a task means you will be notified if there are changes made to the task, like the assignee is changed, or a comment is added.
Favouriting
Favouriting will move the project in question to the very top of the project sidebar, and will stay there until you unfavourite it. If you have a few projects where you spend the majority of your time, favouriting is a good way to always have them at your fingertips.
Flagging
Flagging is used to highlight and track your important tasks. Flags are personal, so only you can see them.
Mention
A mention is when you use @ then a name to inform them you need their attention. This could be used in chat channels, project notes, tasks notes, or comments.
Sidebar
The sidebar is on the left side of your flow app. It shows you all of your groups and projects, with favourited projects at the top. You can use this to navigate to a specific project by clicking it, or move projects around by dragging and dropping.
Task Panel
You create tasks in the task panel. You can open it by clicking the plus sign in the top right. In the task panel you can
Workload
The Workload view allows you to determine who’s working on what and what their week looks like at a glance. This helps you better plan for projects and ensure that the work is distributed evenly across your team.
Timelines
Timelines can be used to establish a schedule, plan alongside other projects, and stay on course. It is part of your project notes, and includes a start and due date for the project that can be changed at anytime.
Project Colour
Assigning colours to projects can help your team quickly identify different types of projects, clarify what department a project belongs to, identify priority level and add a little extra something to an otherwise ordinary project.
Role: Admin
Organization admin have all the power available in Flow. Admin can update billing info, change organization wide settings, and join all projects even if they're locked.
Role: Member
Most of your team in Flow will be a general member. They’re able to create new groups, projects, and tasks, as well as edit ones that already exist. They can join any public team or project, and can invite members and guests.
Role: Guest
Guests can be invited either on the Team level or the Project level, depending on what you'd like them to access. They have limited access, and can’t view anything outside of where they have been specifically added.
